Transitioning Dyad:
Ideas that came up from the dyads:
Transition Binders/ wisdom sheets
Overlap of training, sufficient training, consistency, role playing, awareness of resources, shadowing, clear description of roles, advice on what works and what does not work.
COMMUNICATION
Networking with more groups on campus
Transition committee for departing core faculty members

Discussion on:

Wed class:
Steinbach is retiring/cutting back on his responsibilities for JMP program, after next semester he will no longer teach Wednesday class. Make a list of what has previously been done in Wednesday class, what worked and what did not work. Next semester Steinbach will bring in the new faculty member to transition them.
Should we form a committee to take over the responsibilities of Steinbach (in general not just in regards to Wednesday class), to preserve the knowledge about Suitcase that Steinbach has? He has been around in Suitcase for a long time and is the first person we turn to with questions regarding clinic. Would this be temporary or long term?
Will he be staying on as an advisor?
Transitioning the new faculty member will be essential!
How will the new faculty member be chosen?

Suitcase Structure:
JMP Board- Robert Ratner, Alan Schwartzberg, others, they are the reason why our class is not just a decal.
Jessea is affiliated with JMP (570 University); deals with class administration stuff, reserves room, deals with enrollment for class.
Faculty Advisors- Schwartzberg and Dr. Steinbach
Admin, Class (including newsletter), General, Youth, Women, SPEAC (Student Project for Education and Advocacy), SHARE
Wednesday class is where the people who run Thursday class learn small group facilitation skills from Dr. Steinbach

All of these issues can be topics for discussion at PC! Email if you want to talk about anything specifically.

Dyad- effective leadership! What makes a good leader?
Patience
Enthusiasm
Good facilitator
Looking over their group, making sure that their leadership is getting tasks done
Persistence
Organization skills
Delegation
Having followers
Comfort and trust

Communication discussion:
Opto sharing- builds communication between clinics. Should we share other services?
UGSI- go to your clinic to connect class and clinic
Good communication between class coords and UGSIs. If people came more consistently to PC, this will increase communication between all PC members.
PC should go to the other clinics and share info with similar position members in the other clinics.
Good organization is essential.
Participation!!!
Make PC more productive so that more people can/will participate.?Create a message bulletin for the website.
Call people out for not coming to activities- positive pressure.
Make clinic feel more welcoming and comforting.
Have more events, will people come.
What is our presence on campus? Is it declining?
Box by Sproul- more advertisement
Getting different demographics involved- tabling
Increase homeless awareness, separate from Suitcase Clinic

Women’s Clinic Goals
Transition new pc members
Better incorporation of upstairs women into clinic
Womens clinic volunteers social! (movie night!?) clinic wide social with competition between clinics?
Improve the education part of health ed
Survey the women about their concerns, what they are interested in learning about
Develop a better relationship with shelter staff- sit down and discuss guidelines for using their space
Improve communication with med students
Make intake more efficient and consistent- use whiteboard to advertise services
Possibly get mental health counseling

Minutes from SPEAC Meeting on 9/20/06

Agenda: Updates, Berkeley Project/Small group discussion, UCB Library
Letter discussion, short-term vs. long-term projects discussion.

UPDATES:
-Andrew spoke with director of DC’s regarding the idea to put forth a ASUC
ballot measure to have extra food swipes used towards service-oriented
organizations on campus.

Drafted list of potential beneficiaries: Suitcase Clinic, CalPirg, Dulce,
Eggster, Habitat for Humanity, Amnesty Int., Circle K, Oasis, Stiles Hall

Acitons taken: Decided that a meeting should be arranged to discuss the
issue thoroughly with the director (Brian Walker, I believe). Also, feed
the homeless group is interested in meeting to discuss the possibility of
this project as well. Meeting info. will be announced soon.

-Stephanie spoke with Chelsea regarding the letters to the UCB Library
staff regarding open access to the internet for the public. Chelsea has
the letters and will have them to Stephanie before next meeting.

Actions taken: Discussed contacting the Daily Cal to have the letters
published as a way to publicize the issue. Will discuss this problem in
more detail at the next meeting.

-Karandeep spoke with Initiative for Global Health (a new student group)
regarding the possibility of having a psychiatrist at General Clinic in
order to provide mental health services.

Potential psychiatrist has shown interest and would also be willing to
train student volunteers.

Actions taken: Karandeep will be attending a meeting with the Initiative
for Global Health tonight at 7pm in 220 Wheeler. He will contact General
Clinic Coord. to see if they are also available to attend the meeting.

SMALL GROUP DISCUSSION/BERKELEY PROJECT IDEAS:
Small group went well last week. Top three ideas for Berkeley Project are:
1.) Cleaning Showers at Willard
2.) City-wide needs assessment to determine what issues/projects SPEAC and
SHARE needs to focus on.
3.) Providing a lunch/dinner for the unhoused and low-income as a way of
serving those in need as well as educating the community by breaking down
the barriers of information regarding homelessness.

UCB LIBRARY LETTER DISCUSSION:
-Refer to notes above in updates
-Will discuss the letters and continuity of the project in depth at the
next meeting

SHORT TERM vs. LONG TERM DISCUSSION
-I discussed the importance of narrowing our ideas to a few projects for
the semester.
-In order to be effective on the campus and community, it is important
that we pursue both long term and short term projects.
-Agreed to pursue one long term project, one short term project, and to
organize and prepare the Berkeley Project event.

-Possible Short term projects:
1.) Film showing of homeless related films to be shown on campus
2.) Sponsor a talk or organize a panel of speakers around the issues of
homelessness and barriers to equality.
3.) Free box idea- pursuing the establishment of a new free box at MASC to
be supervised by locker program manager. [Agreed to put this idea on hold]
4.) Create a mural as a creative and fun way to educate and advocate on
behalf of the unhoused.

-Long term projects:
1.) UCB Library project regarding the need for public access to the
internet at all University libraries.
2.) Swipes ASUC Ballot measure- creating a measure to have all unused
swipes go toward one or more student organized service groups.

Minutes from PC Meeting on 9/12/06

News/Announcements:
Receipts for reimbursement should be given to Amit only at PC meetings
Mandatory Suitcase Clinic retreat will be on Saturday, September 23rd in 200 Wheeler; cost is $7. Breakfast is from 9-10, and the actual retreat begins at 10.

Issues:
Relocating PC: meetings have not been productive for a while; they are cutting into General Clinic time and are not properly integrating all the clinics together, as well as the class with the clinics
PC needs to bring issues together, create communication, get help for real problems, help achieve goals, create a forum for debate, and allow for discussion
Admin also wants to coordinate trainings for officers to reconnect with the fundamentals of clinic work
Voting Items/Issues:
PC needs to decide on a time, location, and the frequency of PC meetings
One idea is to meet at University Hall on every other Wednesday at 7, after GSI class. Issues with this idea are:
-There will be no continuity between clinics
-There is too much information to exchange to have clinic every other week
-Suitcase Clinic is an umbrella organization with a lot of smaller groups within it, so PC meetings should reflect that and keep the groups together
4. Votes:
Keep all current decisions temporary, to be decided on again next semester: Yes
Vote through preferences for time: No
Have PC at: 7 on Thursdays (at Wheeler), 7 on Wednesdays (at University Hall), 5:30 on Tuesdays (before General Clinic)
Frequency of PC: every other week for 1 hour, every other week for 2 hrs w/one hour devoted to PC and one hour for small group, every week with one week for PC and the next for small group, or once a month for 2 hours devoted to PC.

Votes were given to Amit and tallied up; results showed that PC will now be every Wednesday at 7 at University Hall. The next PC is on Wednesday, September 27th.

Minutes from SPEAC Meeting on 9/11/06

Present: Kara, Karandeep, Stephanie, Amit, Natalie, Andrew

Small Group
There are 13 people in the small group. This week they are going to talk about putting an agenda together. There will be a half-hours worth of agenda next week. SPEAC members will come to SHARE once in September and twice in October.
Conducting a needs assessment is a possibility for the General clinic. Organizing a film Screening is very doable.
The small group can put on dinners and also can clean-up showers in Willard through the Berkeley Project.
SHARE requires not just one visit but rather a full education campaign.
The dyad will cover ideas for the group project. There will also be an awareness talk.
The Berkeley project (bp.berkeley.edu) may be able to provide funding for SPEAC/SHARE.
SPEAC/SHARE should petition ExComm for allocating funds to SPEAC/SHARE projects.

Goals
Semester – Get funding for SPEAC and SHARE. Election at the end of the semester for one or two SPEAC facilitators (rather than coordinators). This would be a semester-long position.
Another goal is to reconnect on the library project.
ANDREW WILL TALK TO MARY ELLEN ABOUT GETTING COMPUTER SPACE AT FIRST PRESBYTERIAN for the computer project, and will also talk TO THE DC ABOUT ROLLING OVER MEAL POINTS, and for students being able to allocate their meal points into a Suitcase Clinic account.
Funding can come from Whole Foods. Shahid Syed’s group “Feed the Homeless” has an unfortunate name, but could nevertheless be a good resource to continue working with.
The Psych Project would be worth looking closer into, as they have offered counseling services.

The next SPEAC meeting will be from 11-12 on 9/20 at FSM.

Minutes from PC Open Meeting on 9/5/06

1. Introductions
2. Things to be done: set up agenda for the retreat on September 23rd by the 19th; mail agenda items to Jake
3. There will be a bowling social night on September 22nd.
4. Main topic: At the end of last semester, a vote was taken on whether or not to move PC meetings to a different time and/or place; the topic needs to be further discussed now. Suggestions for changes are:

• Have PC meetings once every 2 weeks
• Have PC meetings at University Hall after the UGSI class at 7pm on Wednesdays to keep the location neutral (not at the location of any clinic)
• Have regular PC meetings once at the beginning of each month, then call other meetings only if necessary
• Reserve a room every Wednesday, and hold PC meetings every Wednesday, so that any individual clinic that needs to can meet on the Wednesdays PC is not held.
• Have 1-hour meetings for all of PC, then split up into smaller groups/clinic groups for further discussion
• Rotate PC to different locations/times to make sure everyone can attend
• Have an itinerary set up via email on weeks when PC meetings are not held, to clarify what will be discussed
The most popular idea for change seemed to be to hold PC meetings every other Wednesday at University Hall, after UGSI class.
5. Problems/issues people have are:
• PC participation has been declining over the last few semesters, so something should be done to open the meetings up more
• Youth Clinic has had worries about keeping clinic in touch with the class, so there should be more interaction between class and the clinics
• All the PC officers don’t need to be present to meet with the optometry/medical students
• Communication amongst clinics, administrators, and medical/optometry students has been low, so meetings need to keep everyone informed
• University Hall is hard to get into after five
• COCAs are often at Berkeley Primary Care on Wednesdays, so there needs to be a way to make sure at least one COCA is present at every meeting
• Lack of inter-clinic communication over the last few semesters.
Ideal goal of PC: To have all clinics and divisions of Suitcase Clinic come together to discuss issues, vote on big decisions, and make Clinic democratic.
6. Votes:
• Void last semester’s vote to change PC meetings- passed w/ vast majority in favor
• Have PC every other week- will decide next week
• Location of PC- will decide next week

At next week’s PC meeting, the above suggestions/issues will be further discussed and voted upon.
